Lookout Software, LLC. (“Lookout Software”, “Lookout”, "we”, "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we handle information in connection with the Response Templates for Outlook 365 add-in ("the Add-in"). We believe in transparency and want you to understand exactly what data we do and do not collect.
To use Response Templates, you are required to create an account. During registration, we collect the following information:
This is the only personal data collected and stored by Lookout Software. We do not collect or store your password or any other account credentials.
Response Templates is designed with privacy in mind. The templates you create and store are maintained within your Outlook 365 environment. Beyond the account information described above, we do not collect, transmit, or store any additional data.

We may collect anonymous, aggregated usage data (such as installation counts and general usage metrics provided by the Microsoft AppSource platform) to help us understand how the Add-in is being used and to guide improvements. This data does not identify individual users or contain any email or template content.
The Add-in does not use cookies, tracking pixels, or any third-party analytics services. We do not track your browsing behavior or email activity.
The Add-in operates within the Microsoft Outlook 365 ecosystem. Your use of Outlook 365 is governed by Microsoft's own privacy policies and terms of service. We encourage you to review Microsoft's privacy practices for details on how they handle your data.
We take reasonable measures to protect the integrity of the Add-in and the security of your account information. Your email address and account name are stored securely on our servers using industry-standard protections. Your template data is stored locally within your Outlook 365 environment, and the security of that data is managed through your existing Microsoft 365 security settings, including any encryption, access controls, and compliance policies configured by your organization.
We do not sell, rent, or share your personal data with third parties. Your email address and account name are used solely for the purpose of operating your Response Templates account and are not disclosed to any external parties.
The Add-in is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to address the situation.
The Add-in is available globally through Microsoft AppSource. The only personal data we store – your email address and account name – is maintained on our servers. Your template data remains within your own Outlook 365 environment, subject to your organization's data residency settings.
You may request deletion of your account and associated data (email address and account name) at any time by contacting us at privacy@lookoutsoftware.com. Upon receiving your request, we will delete your account information from our systems within a reasonable timeframe.
We may update this Privacy Policy periodically. Changes will be reflected by the "Last updated" date at the top of this page. We encourage you to review this policy from time to time to stay informed about how we protect your privacy.
